Registration Instructions

PREPARATIONS BEFORE REGISTRATION

Please take time to plan your registration carefully. Accuracy in your initial registration gives as many people as possible the opportunity to participate and helps presenters effectively plan for successful workshops. In addition, changes to initial registrations may incur fees. ACDA recognizes these difficult times for students, faculty and institutions and is also affected by the realities. ACDA has kept fees as low as possible and is offering a refund option. We cannot, however, offer 100% refunds. ACDA incurs fees every time someone registers. These fees are compounded with changes or cancellations of registrations. Again, please plan carefully.

To prepare for the online workshop registration: 

  • If you are planning to register as an institution, organize your group in terms of the total number of people from your institution who wish to attend each Workshop 
    • Only workshops in Track 1 registration are open for group registration. 
    • Online registration will ask only for the number or spots requested, not names. 
    • As we try to serve as many of our membership schools as possible, we ask that you sign up only for spots you are going to take. You may add registrants at a later date if there are registration slots available. 
    • For the inaugural year of virtual workshops, registration will be first-come/first-registered with no registration caps per school. 
    • Note the refund policy in the Fees and Payment section. It benefits everyone for your initial registration to be as accurate as possible.
  • From February 5-21, use the Event Registration Passcode 
    • Passcodes will be emailed to the ACDA liaison at each member school. If you have not received an email with the passcode by the day prior to registration opening, contact the ACDA National Office. 
    • If students or faculty from an ACDA member institution are registering as individuals, the ACDA liaison must share the passcode with the students or faculty. 

REGISTRATION INSTRUCTIONS   

We offer two tracks for registration in order to accommodate both large and limited capacity workshops.

  • Track 1 includes 12 workshops with registration capacities of at least 50 people.
  • Track 2 includes four (4) workshops with registration capacities of under 50 people. When registering in either Track 1 or Track 2, you may request slots for one or more of the workshops listed. 

Look for two separate REGISTER buttons— Track 1 for larger capacity workshops and Track 2 for limited capacity workshops. 

Clarification of Tracks for Workshop Registration:  

  • TRACK 1 Registration for workshops with at least 50 slots                            
  • All registrants are required to enter a “Registration Type.” There are two registration options in Track 1– group and individual. You will be asked to select the appropriate Registration Type from the list below:  
    • ACDA Institutional Member-Group Registration  
    • ACDA Individual or Institutional Member-Individual Registration (In registration this will read: “ACDA Individual/Institutional Mem.-Individual Reg.”) 
    • Non-ACDA Member Group Registration 
    • Non-ACDA Member Individual Registration 
  • Group Registration – Institutional Members 
    • One person from each institution will register for the whole group. That person is the Faculty Representative. 
    • The Faculty Representative will enter contact information for the group. 
    • The Faculty Representative will enter the total number of slots needed for their students and faculty to attend each Dance And… Workshop. 
    • The Faculty Representative may reserve multiple spots in multiple workshops. 
    • Names of participants will not be requested at the time of registration. 
    • Names and emails of participants will be requested closer to the workshop date to ensure accuracy in attendance information. 
    • Individual Registration – Individual ACDA Members or students and faculty from an ACDA Institutional Member who are NOT part of a group registration 
      • Individuals may reserve one spot in any workshop.  
      • Individuals may register themselves for multiple workshops. 
  • TRACK 2:  Registration for workshops with fewer than 50 slots 
  • Registration for low-capacity workshops is limited to individuals only. There is no option for group registration. Students and faculty from Institutional Members, as well as Individual Members, are invited to register themselves. 
    • Registration for limited capacity workshops will allow only one reserved spot in a workshop. This Track is for individuals not associated with an institution or students and faculty from an institution that is not registering as a group. 
    • An individual may reserve a spot in multiple workshops. 
    • All registrants are required to enter a “Registration Type.”  You will be asked to select the appropriate Registration Type from the list below:  
      • ACDA Individual or Institutional Member-Individual Registration (In registration this will read: “ACDA Individual/Institutional Mem.-Individual Reg.”) 
      • Non-ACDA Member Individual Registration 

For all Track 1 and Track 2 registrations: 

  • Proceed through all registration pages to complete registration. Read each item carefully. 
  • Any item in red with an asterisk is a required field and must be answered to continue through registration. 
  • In order to save your registration, you must keep going with “Next” to the last page and then click on “Submit.” You may go back if necessary (“Previous”) but in all cases, you must go click on “Submit” to complete the registration. 
  • Your information has been entered and saved when you see the words on the Confirmation Page “Congratulations, you are now registered!” 
  • There are no refunds on paid registrations. If you cancel a reserved spot in a Dance And… workshop, you may switch to a different workshop, pending space availability.
    • You must contact the ACDA National Office to adjust the resulting balance due that will show in your registration.

Fees & Payment Instructions

Registration Fee for ACDA Members: $20.00 per person per workshop (see example below). We are unable to offer group or multiple workshop discounts to Dance And… Workshops. 

Example:   
Workshop A – 5 people  
Workshop B – 4 people  
Workshop C – 8 people  
Total – 17 workshop registrations x $20 = $370 

Registration Fee for Non-Members: $35.00 per person per workshop 

Payment and Payment or Proof of Intention to Pay must be received two weeks after registering or by the posted deadline, whichever comes first.

Payment types accepted: 

  • Credit Cards 
    • You will have the option to pay with a credit card during registration. 
      If you are not ready to pay at the time of registering, you must select “check” as your payment option. You may return to your registration later and change “check” to “credit card” to complete payment. 
  • Checks 
    • If paying by check, payment, or proof of intention to pay must be received two weeks after registration or by the posted deadlines whichever comes first. listed in the Deadlines table under Timeline & Deadline 

If reserving space in multiple workshops, payment must be received by the deadline for the earliest workshop. 

Proof of Intention to Pay includes Purchase Order or Check Requisition 

All check payments must be received by the posted deadline 

  • Submit one check for the group registration. 
  • Make checks payable to “ACDA”  
  • Send check payment to:

Cancellations and Refunds

  • Cancellations:
    • If payment or proof of intention to pay is not received by the deadline, your registration slots may be cancelled by ACDA to make room for other participants or to allow for accurate preparation by the presenter.
    • Once registration is full (which may be before the posted deadline), any group or individual with an unpaid balance will be notified that proof of intention to make full payment must be received within one week or stated deadline, whichever comes first. If ACDA does not receive acceptable proof of intent, registrations will be cancelled to make room for other participants.
  • Refunds:
    • ACDA is trying to help students, faculty and institutions in these difficult times by keeping fees as low as possible and by offering a refund option. Unfortunately, because ACDA incurs fees every time someone registers and changes registration, we cannot offer 100% refunds. The transaction fees ACDA pays on each paid registration are compounded with every changes or cancellations. See Timelines and Deadlines below for the refund formula and deadlines. Therefore, refunds on paid registration fees are based on the following formula.
      • February 5-21, 2021 
        • 85% refund for cancelled workshops through February 21
      • February 22, 2021 
        • 50% refund for cancelled workshops through next deadline
    • No refunds starting Wednesdays two weeks prior to next Th/Fri/Sat/Sun workshops:
      • February 24 for Workshops on March 5, 6 and 7
      • March 3 for Workshops on March 12, 13 and 14
      • March 10 for Workshops on March 19, 20 and 21
      • March 17 for Workshops on March 25, 26, 27 and 28
      • March 24 for Workshops on April 2 and 3
  • If changing an unpaid registration, contact National Office to adjust fees prior to Feb. 21.
